ATTENDEE LIST SALES

Royal Media/AFN is aware that individuals have been contacted by vendors attempting to sell attendee lists. Royal Media/AFN does not sell attendee lists, nor does anyone besides Royal Media/AFN have access to attendee lists. Please do not respond to or purchase lists from these scammers. Please forward any solicitation emails you receive to csmith@royalmedia.com. Thank you.

ATTENDEE LISTS

The pre-conference attendee list will be sent out two weeks before the Summit to the primary contact person at your company. The final attendee list will be sent out within a week post-conference. The final attendee list includes name, title, company, address, city, state, zip, telephone and email if opted-in.

 

DISPLAY SPACE GUIDELINES

  • Standard 10′ wide display space
  • Skirted 6′ table (with 2 chairs)

* There will NOT be pipe and drape, or any built-out walls that sections off your space. However, please do note that you can bring any promotional materials including banners, tablecloth, flyers, etc. that will fit within your display space.

POWER

The tables will all be located in the Pre-Function area outside of Muirfield Ballroom (where the general sessions will be held), and should be very near wall outlets for power access. You can bring your own power strips and extension cords, or you can rent them from Mills James (see the Rate Card).

 

SHIPPING INSTRUCTIONS

INBOUND SHIPPING TO THE EVENT:

To ship your display materials to the event, please use this format to create your address/shipping labels:

Shipments to the Sonesta Columbus Downtown can be received between September 20th – 22nd. All packages will be delivered to your space – it is important to include your  space number in your address label, as well as the number of boxes in the shipment. A material handling fee of $10 will be assessed by the hotel, payable via your room folio or credit card. Please send all shipment tracking numbers to Cindi Smith at csmith@royalmedia.com as soon as they are available. Note: the Sonesta has limited storage space, and if shipments arrive before the 20th and are too large for them to store, there is a possibility that they might return them. Please arrange your deliveries to arrive between the 20th and 22nd of September.

OUTBOUND SHIPPING AFTER THE EVENT

When PSFS is over, the Sonesta’s team will take your outbound shipment/boxes/pallets to their loading dock for you. You MUST arrange with your shipper (UPS, FedEx, etc.) to pick your materials up at the Sonesta’s dock. All packages, boxes, pallets, etc. must be securely boxed, taped, sealed, and ready for pickup by your shipper (eg pre-paid). If you prefer to drop your items off yourself, there is a FedEx store nearby. A material handling fee may be assessed by the hotel.

SCHEDULE OF EVENTS THAT WILL HAPPEN IN THE PRE-FUNCTION AREA

Tuesday, September 23

  • Set Up 8:00 – 10:00 AM
    • All tabletop displays must be completely set up by the listed time. If it comes to our attention that you did your setup outside of these assigned times, you will be subject to a fine equal to 10% of your sponsorship fee
  • Registration opens: 10:00 AM
  • Afternoon Break: 2:45 – 3:15 PM

Wednesday, September 24

  • Registration opens: 8:00 AM
  • Networking Breakfast: 8:00 – 9:00 AM
  • Morning break: 10:30 – 11:00 AM
  • Afternoon break: 2:45 – 3:00 PM
  • Teardown 4:00 – 5:00 PM
    • No Sponsor can begin to tear down until after the listed time. If it comes to our attention that you did your tear down outside of these assigned times, you will be subject to a fine equal to 10% of your sponsorship fee.
    • All materials must be off the floor by 5:00 PM

 

AV & ETHERNET

AV & Hard-wired Internet needs are provided through Mills James at the the Sonesta Columbus Downtown.
