ATTENDEE LIST SALES
Royal Media/AFN is aware that individuals have been contacted by vendors attempting to sell attendee lists. Royal Media/AFN does not sell attendee lists, nor does anyone besides Royal Media/AFN have access to attendee lists. Please do not respond to or purchase lists from these scammers. Please forward any solicitation emails you receive to csmith@royalmedia.com. Thank you.
ATTENDEE LISTS
The pre-conference attendee list will be sent out two weeks before the Summit to the primary contact person at your company. The final attendee list will be sent out within a week post-conference. The final attendee list includes name, title, company, address, city, state, zip, telephone and email if opted-in.
HOTEL RESERVATIONS
Hotel Reservations:
The Bellagio Hotel is the exclusive lodging partner for Auto Finance Summit 2025. The room block cut-off date is Monday, September 22, 2025.

Please note that each room in the block must be booked directly with the hotel. Please refrain from booking through any 3rd party claiming to be a hotel representative if one should contact you.
2025 EXHIBIT HALL SCHEDULE & INFORMATION
Wednesday, October 15
9:00 AM to 2:00 PM – Exhibitor Setup
- Clean Floor Policy – All crates must be labeled for empty removal by 2:00 pm. Any crates not labeled will be removed from the building. Returning crates after they have been removed will be charged on a time & material basis. This pertains only to crates. All cartons, fibercase, etc. will not be removed
9:00 AM – Registration Opens
5:00 PM – Exhibit Hall Opens
5:00 PM – 6:30 PM – Opening Reception in the Exhibit Hall
6:30 PM – Exhibit Hall Closes
Thursday, October 16
8:00 AM Exhibit Hall Opens / Breakfast with Exhibitors / Registration opens
10:50 AM – 11:35 AM Coffee Break in Exhibit Hall
3:15 PM – 4:00 PM Coffee Break in Exhibit Hall

All booths must be completely setup by the listed time and no booth can begin tear down until the listed time. If it comes to our attention that you did your setup or tear down outside of these assigned times, you will be subject to a fine equal to 10% of your exhibit fee.

FOOD AND BEVERAGE INSIDE THE EXHIBIT HALL
Auto Finance News has exclusively control over all food and beverage services inside the exhibit hall.* No outside food or beverage vendors or service will be permitted without prior written consent from Auto Finance News.
*No food or beverage stations will be available to purchase or allowed at your booth during the morning coffee break on Thursday, October 16th.
AFS EXHIBIT HALL FLOOR PLAN
Booth location is chosen by the exhibitor in the order of payment received. Exhibit space cannot be reserved without a completed exhibitor registration and payment. Booth selection will begin closer to the Conference date, and each exhibitor will be contacted by email to select their booth space.
EXPO SERVICES
Alliance Nationwide Exposition will be the Expo Services partner for the 2025 Auto Finance Summit.
Approximately 90 days before the event starts, Alliance will share access to the Auto Finance Summit Online Exhibitor Portal. The Exhibitor Portal will be your one-stop shop for material handling and freight, show schedule details, and order links for any available ancillary services including electrical service and dedicated Wi-Fi.
The Advance Warehouse will begin accepting orders about 30 days before Exhibitor move-in, and will stop accepting orders 7 days before move-in. Note: the warehouse deadline date is October 15th.

EXHIBITOR SERVICES
AV/Internet/Electrical/Wi-Fi are not included in your booth package. You can arrange for these using the links in the Exhibitor Kit, by using this LINK to the Bellagio ordering site, or by contacting Bellagio’s Exhibitor Services. Monday, September 15 – First day warehouse will begin receiving advance shipments without surcharges.
Wednesday, October 8 – Last day for advance shipments to arrive at warehouse without surcharges.

NOTE: Outbound shipments not consigned to Alliance Transportation and Logistics, the Official Show Carrier, require a pick-up to be scheduled in advance by the exhibiting company with its designated carrier of choice. All exhibitors must submit an outbound Material Handling Agreement to the Exhibitor Service Desk.

NOTE: It is recommended to ship all exhibit materials to the advanced warehouse. Shipping to the warehouse will ensure that materials are in the booth space for exhibitor set up. The warehouse deadline date has been extended for receiving to Wednesday, October 8, 2025. The standard warehouse material handling charge will be honored for all shipments received by this date. Any shipments sent directly to the facility will be required to be handled by Alliance Nationwide Exposition Company. The prevailing warehouse material handling rate plus a 20% minimum surcharge will be added to all direct shipments.
